Roles & access
Studio, retailer and factory — how people sign in and what each role can see and do.
Labels.io has three roles. Access is invite-only — accounts are created by the label, never self-serve — and every role is walled off from the others in the database, not just the interface.
The three roles
Studio (brand admin)
Your team. Runs the whole business: catalogue, pricing, retailers, orders, production, invoicing and settings.
Retailer (stockist)
A boutique that orders from you. Sees your collection at their own trade terms, places and tracks orders, and keeps a bride book.
Factory
Your maker. Sees a price-masked production queue — what to make and when — and advances each gown through its stages.

Retailers are isolated from each other
Row-level security guarantees a stockist can only ever see their own orders, prices, invoices and brides — never another retailer's. It's enforced on every request in the database.
Signing in
Everyone signs in at your portal's own address (for example
portal.yourlabel.com) with a password or a one-tap magic link. On sign-in,
each person is routed straight to where they belong:
- Studio → your admin console
- Retailer → the ordering portal
- Factory → the production queue
The licence, once
On their first sign-in every user — stockist, studio or factory — accepts the platform licence agreement before going further. Stockists do it inside a short first-login wizard that also covers your trading terms and their shop details. See Licence & team.
The account menu (top-right avatar) shows who's signed in and is where anyone signs out. Brand admins can also jump to a read-only preview of the retailer portal, and to their Labels.io account.
The factory doesn't even need to sign in
Confirmed orders are emailed to the factory as a price-masked production spec with a no-login link to view, print and confirm receipt — so a factory can work entirely from its inbox. A signed-in factory account adds the deadline-sorted work queue, and a factory making for several labels on the platform sees them all in one consolidated view.
Adding people
- Your own team is managed under Studio → Team. Invite a colleague by email; they set a password from the link and have full studio access. Removing someone detaches their access — but you can't remove yourself or the last remaining admin. See Licence & team.
- Retailers are invited from Studio → Stockists — one at a time as you add them, or in bulk from the Portal invitations panel — or arrive themselves through the public Become a stockist form on your domain. See Managing your stockists.
- Factory access is set up during onboarding. Talk to us to add or change a factory account.
Reporting a problem
Every signed-in user — in the studio, the portal or the factory queue — has a Report a problem button bottom-left of the page. It sends a bug, feedback or feature request to the platform team with the page, role and browser details attached, and each person can see their own recent reports. Your stockists can use it too, so a glitch on their side reaches us without going through you.
