Sample loans
Lend samples to your stockists for a bride try-on or a trunk show — requested in the portal, approved and tracked in the studio, chased automatically.
A sample loan is a gown that goes out to a boutique for a short while and comes back — for a bride's try-on appointment, or a box of styles for a designer weekend or trunk show. Loans sit alongside sample orders but are tracked separately, with their own dates, reminders and a per-loan charge.
What can be borrowed
You decide which styles and sizes are available to lend. Open a style under Studio → Products and use the Loan samples section to tick the sizes you hold as loan stock (one of each). Only those styles and sizes are offered to stockists, and a size that's already out with another boutique shows as out on loan until it's back.
Nothing to lend, nothing to see
If no style has loan sizes ticked, a stockist's Loans page simply says nothing is available to borrow and points them to Messages.
How a stockist requests a loan
Under Loans in their portal, a stockist:
Says what it's for
A bride try-on (charged per dress) or a designer weekend / trunk show (charged per box).
Picks the samples
Style and size for each line — up to 12 samples on one loan.
Sets the dates
Needed from and back by. Loans run for up to 28 days.
Sends the request
With an optional note ("bride appointment Saturday 11am"). The estimated charge shows before they send.
Every studio admin gets an in-app notification and your order-alert address is emailed. A stockist can withdraw a request themselves until you approve it; after that they message you.
Approving and tracking
Studio → Loans groups every loan by where it is:
| Column | Meaning | What you do |
|---|---|---|
| Requested | Waiting for you | Approve or Cancel |
| Approved · to send | Agreed, still with you | Mark sent when it leaves the studio |
| Out on loan | With the boutique (flagged overdue past its return date) | Mark returned when it's back |
| History | Returned and cancelled loans | — |
Approving emails the stockist with the return date; marking returned or cancelling lets them know in-app. Each step is recorded on the loan's history.
Reminders
You don't have to chase loans by hand:
- A week before it's due back, the stockist is reminded once — in-app on every login for their shop, and by email to the shop address.
- The morning after the return date, if the loan hasn't been marked returned, every studio admin gets an in-app alert and the loan shows as overdue on Loans until it's back.
Pricing
Loans are charged per loan rather than from the style's price: a flat charge per dress for a try-on and per box for an event, ex VAT, with the stockist's VAT treatment applied. Trade discounts don't apply to loans. The platform defaults are £40 per dress and £70 per box; we set your own figures when your label goes live — ask us if you'd like them changed.
A loan is an order underneath
Every loan has its own order reference and appears on the studio order page like any other order, so it carries a message thread and can be invoiced if you charge for it.
