Track which boutiques carry which samples — a dedicated report for the studio, and a self-serve view for every stockist.

A sample order is a gown for a boutique's shop floor rather than for a bride. Retailers choose the order type as they configure, and samples get their own reporting on both sides.

Ordering a sample

In the configurator, the retailer picks sample instead of bride. Sample orders skip the bride record and wedding date, and options marked bride-only (made-to-measure, for instance) aren't offered — a sample is a stock gown, not a commission.

Adding samples from the studio

Agreed a sample order at a show or over the phone? You don't need the stockist to place it. Studio → Samples → Add samples logs a batch of styles and sizes for one stockist in a single form: pick the stockist, give an optional expected delivery date, then add a line per sample — style or accessory, size and an optional colour. You can set or change the delivery date on the order later; without one, the order reads "To be confirmed" to the stockist.

Each line is priced automatically: from the style's sample price if you've set one in the product editor, otherwise from its size matrix — then the stockist's discount and VAT treatment are applied, exactly as they would be on a portal order. The result is saved as a sample order with its own reference.

Sample prices per style

Open any style under Studio → Products and set an optional Sample price. When it's set, sample orders use it instead of the size price. Leave it blank and samples are priced from the matrix.

For a stockist on the US-dollar price list the same rule runs on the dollar figures — the style's USD sample $ if set, otherwise its derived dollar size price — and the order is saved in dollars with no UK VAT. Add samples marks any style that has no dollar price (no USD price) and won't add it until one is set on the export price list.

Show deals

Struck a deal on the day — a set price per gown, or a percentage off the lot? On the sample order's page in the studio, Show deal · amend prices lets you change any line's amount, apply a discount % and record a reason, which is kept on the order. The order history shows a prices amended entry each time.

Prices lock once an invoice has been raised for the order — void the invoice first if you need to change them.

Samples a boutique already holds

For stock a stockist already has on their floor — bought before the portal, or handed over at a show — tick Already held — record only on Add samples. Nothing is ordered, priced or invoiced; the style, size and colour are simply recorded, and they show on the Samples report and the stockist's own page as Held stock · In store.

The studio report

Studio → Samples flattens every sample across your stockists into one report:

Grouped by stockist — which boutiques carry which styles, including held stock
Filter by style — see at a glance who stocks a given gown
Print-friendly — take it to a season planning meeting

Choose a single stockist and print, and the report becomes a priced Sample order confirmation for that boutique — every sample at their account terms, with totals, ready to send after a show. The order page in the studio prints an order document with prices too.

It's the answer to "who has the new collection on their floor?" without a trawl through past orders.

The stockist's view

Retailers get the same self-serve report for their own shop under Samples in their portal — every sample they've ordered or hold, flattened by style, handy when planning what to add for the new season.

Lending samples
